This notice explains what we collect when you use this site, why, who sees it and how to reach us. It is written to Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

Who is responsible
The publisher of Runway & Racetrack Stays (maxwellwoodworking.com) is responsible for personal information collected through this site. Questions and requests go to [email protected].
What we collect
- From the room-request form: your name, email address, optional phone number, number of travellers, arrival and departure dates, the room type you chose, any notes you write, your consent, and which page the form was sent from.
- Server logs: like every web server, ours records technical data about requests (IP address, browser type, the page requested, time). These logs are used for security and to keep the site working.
We do not ask for payment card details, government ID numbers or dates of birth, and we ask you not to put them in the notes field.
Why we collect it
We use form data for one purpose: to answer your room request — checking availability and rates with the hotel or a booking partner and replying to you. We may email you about that request and its follow-up. We do not send newsletters or marketing, and we do not sell personal information.
Who sees it
- Our request desk.
- The hotel's reservations team or a booking partner, when we check availability for you — only the details needed for that check, such as dates, number of guests and room type, and your name if you ask us to hold a room.
- Our hosting and email providers, who process data on our behalf. The site is hosted on a DigitalOcean server in Toronto, Canada.
Google Maps
Some pages can show a map served by Google Maps. On the home page the map loads only after you press the button; on the how-to-get-there page it is embedded in the page. When a Google map loads, your browser connects to Google, which receives your IP address and may set cookies under its own privacy policy. Links marked “Open in Google Maps” or “Directions” take you to Google's site.
Cookies and analytics
This site does not set cookies of its own and does not run advertising trackers. If that changes, we will update this notice before it happens.
How long we keep it
We keep request records for up to 24 months after your last contact, so that we can answer follow-up questions and meet our record-keeping obligations, and then delete them. Server logs are kept for a shorter period for security.
Your rights
Under PIPEDA you can ask to see the personal information we hold about you, ask us to correct it, and withdraw your consent to further use (which means we stop working on your request). Write to [email protected]; we reply within 30 days. If you are not satisfied, you can complain to the Office of the Privacy Commissioner of Canada.
Security
The site is served over HTTPS, the request form posts only to this domain, and access to request records is limited to the people who need it to answer you.
